Special General Meeting of the Berwick Bowling Club to be held Thursday 23rd January at 7.00pm.

To: All Club Members

Please find at this link  a Notice of Meeting and Agenda for a Special General Meeting of the Berwick Bowling Club to be held in the Clubrooms on Thursday 23rd January at 7.00pm. As you will see from the Agenda, the purpose of the meeting is to review the new Constitution, particularly the
new Organisational Structure (see attached chart) and to enable members to ask current and ex-committee members questions about what's involved in becoming a committee member under this new structure.

The meeting will also look at how the Club plans to transition from the existing committee structure to the new one.

As part of that process, t
he Board of Management of the Club has directed the Constitution Working Party (CWP) - (Graham Rushton - Chairman, Anne Robinson and John Lillie) to proceed to the next step of implementing the new Club Constitution as soon as possible after the January meeting, This will be done in two stages as follows:

1.
Men's and Ladies Bowls Sections and their duplicated sub-committees

We will arrange for the Men's and Ladies Bowls Sections and their duplicated sub-committees (in the current structure) to meet together from February onwards until a combined (and final) Annual General Meeting of the Men's and Ladies Bowls Sections which will be held at 7.00pm on Tuesday 15th April, 2014. The old separate committees will then be formally wound-up.

Immediately following that at around
7.30pm on the same night in April, we will hold our first unified Bowls Section AGM, the first order of business of which will be to hold elections to fill
around 20 positions on the new Bowls Section, with candidates from both male and female members of the Club.

There will also be a Club AGM held at 7.00pm on Tuesday 6th May at which any vacant positions on the Board of Management will be filled by election.

2.
Services Section and Membership Section and their sub-committees

Almost all of the positions on the new Services Section and Membership Section and their sub-committees are appointed positions and to a great extent many of the committees will continue to do the same job, working under a slightly different structure.

Appointment of members to these Committees will be carried out initially by the CWP in consultation with the Board of Management, commencing in February, 2014.
Around 30 positions are to be filled by appointment in the Services Section and around another 30 positions in the Membership Section (see chart).

There are some newly created positions in these Sections, which creates the opportunity for members to change to different roles, or to take a break from volunteering.
It also creates an opportunity for "new blood" to fill some of these positions and whist there is no restriction on individuals holding more that one position, the more people volunteering their skills and time, the better.

Please take a look through the  Organisational Structure chart to see where you think you might like to get involved as from February. Most of the appointments made in February will continue to apply for at least another year until April 2015. If you have any questions, or if you'd like to indicate your interest in any particular positions, please contact the Constitution Working Party via my email address at berwickcco@gmail.com.

If you are a current committee member, or if you're interested in joining a committee from next year, it's vital that you come along to the Club General Meeting on
Thursday 23rd January at 7.00pm.
